Well if anything, she could teleport him back to Caer Scima once the meeting done, so the return trip could be faster.

Details aside; I was think The Station may be a good meeting place, since it's in Unseelie territoriality but still neutral. That's probably where she'll meet Ganondorf as well.

The Station sounds good, and teleporting sounds like an excellent travel solution!

In regard to the event, I suppose it would be wiser to wait till the event is over for this? Since the characters are going to be moved anyway.

Yeah, definitely post-event would be a good idea. It'd also let them discuss what went down and what kind of impact it's having on what they already discussed.
